How to Donate Your Pennington Material to the PRA Archives & Library

ARCHIVIST REPORT - 2005

November 2005

Dear Friends of the Pennington Archives and Members of the PRA:

The development of the Pennington Archives at Earlham College, Richmond, Indiana, continues to progress nicely.  Essential materials of business and membership records, copies of incorporation papers and Board minutes, family group forms, copies of all of the PRA publications, including the Pennington Pedigrees, correspondence, photographs, scrapbooks and miscellaneous bits and pieces have all been deposited.  Some of these will eventually be on discs available for the general membership and descriptions of the collection will be available on-line through the Earlham College Library Friends Collection.  To see what is available currently on-line:    "... Pennington (http://www.earlham.edu/~libr/ and click on “Library” then click on “Find Library Materials” then click on “In our Library” then enter “Pennington” in the search box)."

In August, I began sending my own library of books and other printed materials authored by Penningtons.  These will be cataloged and become part of the Pennington Archives for the use of library and archival users.  Copies of my own Pennington Papers which are monographs on individuals mostly represented in the book collection currently being sent to Earlham, will go to the Archives as I finish them to my satisfaction.  These contain a good deal of biographical information.  Copies on disc of various Power Point presentations regarding Penningtons will also be placed there as I finish them.  My own correspondence files with various Pennington’s will be place there as well sometime in the future, including some letters with Bea Holmes, Edwina Whiteside, Sir William Pennington-Ramsden, etc.

Gene Pennington has given me a list of Penningtons who have collections which we would like for the Archives.  Contacts with these folks are in process.  It is important that the entire membership help in promoting donations and gifts of materials and financial support for the Archives.  Materials by and about Penningtons continue to appear from unlikely places such as estate sales, yard sales, antique stores and relatives.  Photographs and copies of photographs are very useful, including the old Cabinet Cards and tintypes and so on.  Clippings of obituaries are great sources of family history and these can easily be sent to the Archives.

In August 2006 we will be at Earlham College and the Pat and Pete Trocano have organized a splendid program for us, including a trip to the Fort Worth Genealogical Library Collection.  With the help of Dr. Thomas Hamm, Archivist at Earlham, we will have some hands-on projects which those attending can help with and which will enhance the use of our collection there.  So, it will be a “working” meeting as well as one for research and education.  I look forward to seeing many of you there and some new faces as well.

How to Donate Your Pennington Material

To learn what type of Pennington material you can share with other Pennington researchers, visit our Submissions web page.  The suggestions on the page are not all inclusive and we welcome all types of material including books, pictures, charts, Bibles, historical records, census records, military records and electronic media (such as CDs).

Donated material may be tax deductible so be sure to check with a tax professional to see how to claim a tax deduction.  Click here for the PRA's corporation information.  Be sure to retain a COPY of the summary inventory for your personal records and your tax return.

There are three (3) steps.

  1. Collect your donated materials and prepare a summary inventory of the materials and include it with the donated materials you send to Dr. Hamm.
  2. Mail the donated materials and the summary inventory to Dr. Thomas Hamm, Archivist (see below for address).
  3. Mail a COPY of the summary inventory to Rev. Jasper Green Pennington, PRA Archivist (see below for details).

Summary Inventory:  A summary inventory is a simple list of your donated materials that includes details of the donated material such as:

  • Description/title (i.e. Family History of Benajah Pennington, b. 1770, or Family Group Sheet of Benajah Pennington, b. 1770)
  • Type of material (i.e. book, family group report, picture, family Bible, census record, military record).
  • Captions for pictures (if known, include date/location where taken and PRA Family Group)
  • Other details that you think will help to better identify and index the donated materials.  

Include the summary inventory with your donated materials when you mail it to Dr. Thomas Hamm.

Send a copy of the summary inventory to:

It is important that Rev. Jasper Green Pennington, PRA Archivist, keep informed of what material is donated so he can send you a "Thank You" letter and so he can supervise the inventory, the indexing and placement of the material.

The Pennington Research Association, Inc. is a not-for-profit charitable corporation as defined in section 501 (c) (3) of the Internal Revenue Code. Donors may deduct contributions to the Pennington Research Association as provided in section 170 of the Internal Revenue Code. Bequests, legacies, devises, transfers, or gifts to the Pennington Research Association are deductible for Federal estate and gift tax purposes if they meet the applicable provisions of sections 2005, 2106, and 2522 of the Internal Revenue Code.
